Job Title: Document Controller
Location: Abu Ghraib – Gas Turbine Repair Workshop
Reports To: Project Manager
Job Summary:
The Document Controller will play a critical role in ensuring the effective management, archiving, and retrieval of technical, Legal, joint venture, Partnership, business, and administrative documentation throughout the construction, installation, and operation phases of the Gas Turbine Repair Workshop in Abu Ghraib. The position is responsible for maintaining a centralized document control system that aligns with international standards, enabling accurate version control, document tracking, and secure storage. The role requires a meticulous and organized professional who can manage high volumes of sensitive data across multiple stakeholders and disciplines.
Key Responsibilities:
Document Management & Archiving:
- Establish and maintain a comprehensive document control system for all project-related documents, drawings, contracts, reports, and communications.
- Ensure that all documents are accurately coded, categorized, and filed in accordance with RASEP's documentation protocols and international best practices (e.g., ISO standards).
- Control the flow of documents in and out of the project team, ensuring the most up-to-date versions are available to relevant stakeholders.
Version Control & Access Management:
- Maintain proper version control for all project documentation and ensure that obsolete versions are archived and marked accordingly.
- Monitor access to sensitive documents and ensure proper authorization protocols are followed.
- Track the status of document submissions and approvals from contractors, consultants, and vendors.
Coordination & Communication:
- Coordinate with engineering, procurement, legal, and project teams to gather and disseminate necessary documentation.
- Ensure all documents received from external parties (OEMs, partners, contractors) meet the required documentation standards.
- Serve as the main point of contact for all document-related queries, ensuring timely and professional responses.
Compliance & Audit Preparedness:
- Ensure document handling and archiving processes are in compliance with audit and quality assurance requirements.
- Prepare and maintain documentation needed for internal and external audits, inspections, and regulatory reviews.
- Support in preparing document control procedures and training sessions for team members involved in document handling.
Qualifications:
- Diploma or Bachelor's degree in Library Science, Information Management, Engineering, or a related discipline.
- Minimum 3–5 years of experience in document control within an industrial, engineering, or infrastructure project environment.
- Familiarity with document control standards such as ISO 9001, ISO 14224, or other industry best practices.
- Knowledge in engineering drawings and AutoCAD designs.
Technical & Managerial Skills:
- Proficient in document control systems such as Aconex, SharePoint, EDMS, or similar platforms.
- Strong skills in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent organizational, time management, and recordkeeping skills with high attention to detail.
Language Skills:
- Good command of English and Arabic (written and spoken).
- Ability to prepare, review, and organize bilingual documentation.
